No physical copy of this Agreement will be issued. This Agreement is made entirely online. The current version of this Agreement is always available at www.retreats-in-greece.com/supplier-agreement/. Your acceptance is recorded electronically, and the agreed terms are those in force at the time you clicked “I Agree”.
This Agreement is made and enforceable in accordance with:
Your digital acceptance has the same legal force and effect as a handwritten signature.
Evexia (Kos), a company registered as a travel agency under Gillian Gwilliams in Greece with Tax Identification Number (AFM) 172883411, trading as Retreats In Greece (RIG), with its registered office at Tigaki, Kos, 85300, Greece (hereinafter referred to as “Retreats In Greece”, “RIG”, “we”, “us”, or “our”);
and
You, the individual or business entity who clicked “I Agree” on the Retreats In Greece website (hereinafter referred to as “the Supplier”, “you”, or “your”).
Effective Date: The date and time at which you clicked “I Agree” on the Retreats In Greece website.
This Agreement operates within the following legislative framework:
The 2026 revision strengthens consumer protections and introduces new enforceable obligations between travel organisers and their service providers, including:
Sections 2 and 3 of this Agreement govern referral and advertising arrangements only and are not subject to the Package Travel Directive.
This document is divided into three sections. Please read the section that applies to your arrangement with Retreats In Greece. If more than one section applies, both are binding upon acceptance.

Applies to: Retreat Hosts listing programmes for sale through Retreats In Greece
This section governs the relationship between Retreats In Greece and Retreat Hosts whose programmes are listed, promoted, and sold on the Retreats In Greece platform.
Under this arrangement:
Retreats In Greece operates as:
1.1.1 This section covers all bookings made by Retreats In Greece on behalf of the Retreat Host for the agreed programme(s), as detailed in Schedule A.
1.1.2 “Services” include the retreat programme, accommodation, meals, activities, workshops, transfers, and any other elements described in the listing.
1.1.3 The Retreat Host agrees to honour all bookings made by Retreats In Greece or its authorised sub-agents under this Agreement.
1.1.4 All agreed rates and commercial terms remain confidential and must not be disclosed to third parties without mutual written consent, unless legally required.
1.2.1 By accepting this Agreement, the Retreat Host appoints Retreats In Greece as a non-exclusive selling agent to market, promote, and sell its programme(s). Retreats In Greece accepts this appointment.
1.2.2 Retreats In Greece may act as:
1.2.3 The Retreat Host acknowledges that Retreats In Greece may use authorised sub-agents, travel agent partners, or third-party distributors for promotion and sales.
1.2.4 Non-exclusivity means the Retreat Host may also offer its programmes through other channels or travel businesses. Retreats In Greece does not guarantee an exclusive sales territory and is not responsible for the overall sales performance of the retreat.
1.3.1 This section comes into force on the date and time the Retreat Host clicked “I Agree” and remains in effect until terminated in accordance with Clause 1.14.
1.3.2 “Agreement” for the purposes of this section includes:
1.4.1 The Retreat Host is responsible for providing accurate, complete, and up-to-date programme information, including:
1.4.2 Retreats In Greece will create or adapt listing content based on information provided. The Retreat Host agrees to review and confirm the accuracy of the published listing within 7 days of it going live.
1.4.3 Once approved, the Retreat Host must notify Retreats In Greece promptly of any changes to dates, pricing, inclusions, availability, or programme content. Retreats In Greece reserves the right to suspend or remove a listing that contains inaccurate or misleading information.
1.5.1 When a customer makes a booking, Retreats In Greece will confirm the booking to the customer and notify the Retreat Host by email within 48 hours.
1.5.2 The Retreat Host must acknowledge receipt and confirm availability within 48 hours of notification.
1.5.3 If a retreat is fully booked or unavailable, the Retreat Host must notify Retreats In Greece immediately. Retreats In Greece accepts no liability for overbooking caused by the Retreat Host’s failure to communicate availability.
1.5.4 Where Retreats In Greece acts as the Retreat Host’s agent, the contract for the retreat is between the Retreat Host and the customer. Retreats In Greece facilitates the booking and payment on the Retreat Host’s behalf.
1.5.5 Where Retreats In Greece acts as Principal / Package Organiser, the contract is between Retreats In Greece and the customer, and the Retreat Host’s obligations are to Retreats In Greece under this Agreement.
1.6.1 Agreed pricing, net rates, and commission structure are set out in Schedule A.
1.6.2 Retreats In Greece reserves the right to set its own retail selling price to customers, provided it does not fall below the agreed net rate.
1.6.3 Commission is calculated on the net rate received from the customer. VAT and applicable taxes are handled in accordance with applicable Greek and EU law.
1.6.4 Pricing agreed under this Agreement is confidential and must not be shared with third parties.
1.6.5 The commission rate as of May 2026 is 20% of the full sale price.
1.7.1 Retreats In Greece will collect customer payments (deposits and final balances) directly, using its approved payment processing system (currently WeTravel or bank transfer).
1.7.2 Standard payment terms to customers are:
1.7.3 Retreats In Greece will remit the Retreat Host’s agreed net payment according to the schedule set out in Schedule A, following receipt of cleared funds from the customer.
1.7.4 Retreats In Greece will retain its agreed commission from customer payments received before remitting the balance to the Retreat Host.
1.7.5 Retreats In Greece maintains insolvency protection covering all traveller payments, including any refunds and vouchers, in compliance with Directive (EU) 2015/2302 as amended by the 2026 Package Travel Directive Revision.
By the Customer
1.8.1 Customer cancellation terms are communicated at the time of booking and are in line with Retreats In Greece’s standard booking terms and conditions. The Retreat Host agrees to honour these terms.
1.8.2 Where a customer cancels due to extraordinary and unavoidable circumstances materially affecting the destination or the retreat (as provided for under Directive (EU) 2015/2302 as amended), the customer is entitled to a full refund. The Retreat Host agrees to return all payments received in such circumstances within 14 days of the cancellation notice, in compliance with the 2026 revision.
1.8.3 In all other cases, refund entitlements are governed by the booking conditions in place at the time of sale.
By the Retreat Host
1.8.4 If the Retreat Host cancels a confirmed retreat for any reason, Retreats In Greece must be notified immediately and no later than within 24 hours.
1.8.5 In the event of a Retreat Host cancellation, the Retreat Host agrees to:
1.8.6 Retreats In Greece accepts no liability for losses arising from a Retreat Host cancellation. Any costs, claims, or compensation due to customers as a result of a Retreat Host cancellation remain the sole responsibility of the Retreat Host.
Changes to the Programme
1.8.7 The Retreat Host must notify Retreats In Greece as soon as possible of any material changes to a confirmed programme (dates, venue, inclusions, facilitator). Retreats In Greece will communicate changes to affected customers and, where appropriate, offer customers the option to cancel with a full refund.
1.9.1 The Retreat Host will provide Retreats In Greece with all information necessary to prepare customer-facing documentation, including booking confirmations, pre-arrival information, packing guides, and arrival/departure details.
1.9.2 Where Retreats In Greece acts as agent, all customer documents will reflect that the contract is between the Retreat Host and the customer.
1.9.3 The Retreat Host is responsible for all health, safety, insurance, and legal requirements relating to the delivery of the programme.
1.10.1 The Retreat Host confirms it holds adequate public liability insurance and professional indemnity insurance appropriate for the retreat activities offered.
1.10.2 The Retreat Host must notify Retreats In Greece immediately if its insurance lapses, is materially changed, or is cancelled.
1.10.3 Retreats In Greece requires that customers hold valid travel insurance before departure. This requirement will be communicated to customers at the time of booking.
1.11.1 The Retreat Host is solely responsible for the health, safety, and wellbeing of participants during the retreat.
1.11.2 The Retreat Host agrees to maintain safe and appropriate facilities, qualified facilitators, and suitable contingency arrangements.
1.11.3 The Retreat Host agrees to notify Retreats In Greece of any incident, complaint, or safeguarding concern relating to a participant, promptly and in writing.
1.12.1 The Retreat Host grants Retreats In Greece a non-exclusive licence to use its programme descriptions, images, logos, and branding materials for the purposes of promotion and sale on the Retreats In Greece platform and associated channels.
1.12.2 Retreats In Greece retains ownership of all marketing copy, materials, and campaigns it creates independently.
1.12.3 Neither party may use the other’s name, logo, or trademarks for purposes outside this Agreement without prior written consent.
1.13.1 Both parties agree to handle customer personal data in accordance with applicable data protection legislation, including the EU General Data Protection Regulation (GDPR).
1.13.2 Customer data collected by Retreats In Greece will be shared with the Retreat Host only to the extent necessary to deliver the booked retreat programme.
1.13.3 The Retreat Host must not use customer data provided by Retreats In Greece for any purpose other than delivering the booked service.
1.14.1 Either party may terminate this section of the Agreement with 30 days’ written notice by email to info@retreats-in-greece.com.
1.14.2 Retreats In Greece may terminate immediately if:
1.14.3 Upon termination, both parties will fulfil all outstanding confirmed bookings unless mutually agreed otherwise. Customer funds held by Retreats In Greece will be managed in accordance with applicable booking terms and the Package Travel Directive.
1.15.1 Retreats In Greece acts as an agent or organiser and is not responsible for the quality, safety, or delivery of the retreat programme, which remains entirely the responsibility of the Retreat Host.
1.15.2 Neither party shall be liable for events beyond reasonable control (force majeure), including natural disasters, pandemics, government restrictions, or acts of war. In such circumstances, the extraordinary circumstances provisions of Clause 1.8.2 apply.
1.15.3 In all circumstances, Retreats In Greece’s aggregate liability to the Retreat Host shall not exceed the total net fees paid to the Retreat Host in the 12 months preceding the claim.
1.16.1 This section of the Agreement is governed by the laws of Greece and the European Union, including Directive (EU) 2015/2302 as amended by the 2026 Package Travel Directive Revision.
1.16.2 Any disputes will first be addressed through good faith discussion. If unresolved within 30 days, disputes will be subject to the jurisdiction of the courts of Kos, Greece.
Completed separately upon onboarding. The details agreed at that stage form part of this Agreement.

Applies to: Venue owners advertising their property as a retreat hire location
This section governs the listing and referral arrangement between Retreats In Greece and venues that wish to be featured on the Retreats In Greece platform as suitable locations for retreat hire.
This is a referral and advertising arrangement only. Under this arrangement:
The Venue pays an annual advertising fee to Retreats In Greece in exchange for this listing and referral service. The Package Travel Directive does not apply to this section.
2.1.1 This section covers the advertising and promotion of the Venue on the Retreats In Greece platform and the referral of relevant enquiries to the Venue.
2.1.2 Retreats In Greece does not guarantee any minimum number of enquiries, bookings, or revenue as a result of the listing.
2.1.3 All commercial terms for venue hire, including pricing, availability, and cancellation, are agreed solely between the Venue and the client.
2.1.4 All terms of this section remain confidential unless legally required.
2.2.1 The Venue agrees to pay an annual advertising fee of €49 to Retreats In Greece, as set out in Schedule B.
2.2.2 The annual fee is payable in full at the commencement of the Agreement and upon each annual renewal.
2.2.3 The annual fee is non-refundable once the listing is published and live, regardless of the number of enquiries received.
2.2.4 Retreats In Greece reserves the right to review and update the annual fee at the time of renewal. Any change will be communicated in writing no less than 30 days before the renewal date.
2.2.5 Retreats In Greece does not charge commission on any bookings or revenue generated as a result of referrals made under this section.
2.3.1 This section comes into force on the date and time the Venue clicked “I Agree” and payment of the annual advertising fee is confirmed.
2.3.2 The listing runs for 12 months from the activation date and will renew annually unless either party gives written notice of termination at least 30 days before the renewal date.
2.4.1 The Venue is responsible for providing accurate, complete, and up-to-date information for the listing, including:
2.4.2 Retreats In Greece will create or adapt listing content based on information provided. The Venue agrees to review and confirm the accuracy of the published listing within 7 days of it going live.
2.4.3 The Venue must notify Retreats In Greece promptly of any changes to information provided, including availability, pricing, or facilities.
2.4.4 Retreats In Greece reserves the right to suspend or remove a listing that contains inaccurate, misleading, or outdated information.
2.5.1 When Retreats In Greece receives an enquiry from a retreat host or facilitator seeking a venue matching the Venue’s profile, Retreats In Greece will forward the enquiry details to the Venue by email.
2.5.2 Enquiry details forwarded will typically include the enquirer’s name, email address, and key requirements (dates, group size, retreat type, and any specific needs).
2.5.3 The Venue agrees to respond to forwarded enquiries within 48 hours of receipt.
2.5.4 All subsequent communication, negotiation, contracting, and payment is the sole responsibility of the Venue. Retreats In Greece plays no further role once the referral has been made.
2.5.5 Retreats In Greece does not accept any responsibility or liability for the outcome of referrals, including whether a referral results in a booking.
2.6.1 Retreats In Greece is not a party to any contract between the Venue and a client arising from a referral under this section.
2.6.2 Retreats In Greece does not accept, hold, or process any client payments on behalf of the Venue.
2.6.3 Retreats In Greece does not provide any guarantees, warranties, or representations to clients regarding the Venue’s services, availability, or quality.
2.6.4 Any disputes, complaints, or legal claims arising from a venue hire arrangement are entirely between the Venue and the client. Retreats In Greece accepts no liability in this regard.
2.7.1 The Venue is solely responsible for:
2.7.2 The Venue confirms it holds all necessary licences, permits, and insurance required to operate as a retreat venue and to host groups for wellness or retreat activities.
2.8.1 The Venue grants Retreats In Greece a non-exclusive licence to use its name, descriptions, images, and branding materials provided for the purposes of promoting the listing on the Retreats In Greece platform and associated marketing channels.
2.8.2 Retreats In Greece retains ownership of all marketing copy and materials it creates independently.
2.8.3 Neither party may use the other’s name, logo, or trademarks outside the scope of this Agreement without prior written consent.
2.9.1 Both parties agree to handle all personal data in accordance with applicable data protection legislation, including the EU General Data Protection Regulation (GDPR).
2.9.2 Enquirer personal data shared by Retreats In Greece with the Venue must be used solely for the purpose of responding to and managing the referred enquiry. It must not be used for unsolicited marketing or any other purpose without the enquirer’s consent.
2.10.1 Either party may terminate this section of the Agreement with 30 days’ written notice by email to info@retreats-in-greece.com.
2.10.2 If the Venue terminates before the end of the 12-month listing period, no refund of the annual advertising fee will be given.
2.10.3 Retreats In Greece may suspend or remove a listing immediately if:
2.11.1 Retreats In Greece acts solely as an advertising and referral platform and accepts no liability for the quality, safety, suitability, or delivery of the Venue’s services, or for any loss or damage arising from a venue hire arrangement.
2.11.2 In all circumstances, Retreats In Greece’s aggregate liability to the Venue under this section shall not exceed the annual advertising fee paid in the relevant year.
2.12.1 This section of the Agreement is governed by the laws of Greece and the European Union.
2.12.2 Any disputes will first be addressed through good faith discussion. If unresolved within 30 days, disputes will be subject to the jurisdiction of the courts of Kos, Greece.

Applies to: Service providers advertising their services to retreat hosts and facilitators
This section governs the listing and referral arrangement between Retreats In Greece and service providers who wish to be featured on the Retreats In Greece platform as recommended professionals supporting retreat hosts and wellness businesses in Greece.
Service providers may include, but are not limited to: chefs and caterers, photographers and videographers, yoga and Pilates instructors, massage therapists and bodyworkers, sound healers and facilitators, transfer and transport providers, event and logistics coordinators, and other retreat-support specialists.
This is a referral and advertising arrangement only. Under this arrangement:
The Service Provider pays an annual advertising fee to Retreats In Greece in exchange for this listing and referral service. The Package Travel Directive does not apply to this section.
3.1.1 This section covers the advertising and promotion of the Service Provider on the Retreats In Greece platform and the referral of relevant enquiries to the Service Provider.
3.1.2 Retreats In Greece does not guarantee any minimum number of enquiries, commissions, or revenue as a result of the listing.
3.1.3 All commercial terms for services, including pricing, availability, and any other conditions, are agreed solely between the Service Provider and the client.
3.1.4 All terms of this section remain confidential unless legally required.
3.2.1 The Service Provider agrees to pay an annual advertising fee of €29 to Retreats In Greece, as set out in Schedule C.
3.2.2 The annual fee is payable in full at the commencement of the Agreement and upon each annual renewal.
3.2.3 The annual fee is non-refundable once the listing is published and live, regardless of the number of enquiries received.
3.2.4 Retreats In Greece reserves the right to review and update the annual fee at the time of renewal. Any change will be communicated in writing no less than 30 days before the renewal date.
3.2.5 Retreats In Greece does not charge commission on any bookings or revenue generated as a result of referrals made under this section.
3.3.1 This section comes into force on the date and time the Service Provider clicked “I Agree” and payment of the annual advertising fee is confirmed.
3.3.2 The listing runs for 12 months from the activation date and will renew annually unless either party gives written notice of termination at least 30 days before the renewal date.
3.4.1 The Service Provider is responsible for providing accurate, complete, and up-to-date information for the listing, including:
3.4.2 Retreats In Greece will create or adapt listing content based on information provided. The Service Provider agrees to review and confirm the accuracy of the published listing within 7 days of it going live.
3.4.3 The Service Provider must notify Retreats In Greece promptly of any changes to information provided, including availability, services offered, or contact details.
3.4.4 Retreats In Greece reserves the right to suspend or remove a listing that contains inaccurate, misleading, or outdated information.
3.5.1 When Retreats In Greece receives an enquiry from a retreat host, facilitator, or wellness professional seeking a service matching the Service Provider’s profile, Retreats In Greece will forward the enquiry details to the Service Provider by email.
3.5.2 Enquiry details forwarded will typically include the enquirer’s name, email address, and key requirements (dates, location, nature of service needed, group size, and any specific requests).
3.5.3 The Service Provider agrees to respond to forwarded enquiries within 48 hours of receipt.
3.5.4 All subsequent communication, negotiation, contracting, and payment is the sole responsibility of the Service Provider. Retreats In Greece plays no further role once the referral has been made.
3.5.5 Retreats In Greece does not accept any responsibility or liability for the outcome of referrals, including whether a referral results in a booking.
3.6.1 Retreats In Greece is not a party to any contract between the Service Provider and a client arising from a referral under this section.
3.6.2 Retreats In Greece does not accept, hold, or process any client payments on behalf of the Service Provider.
3.6.3 Retreats In Greece does not provide any guarantees, warranties, or representations to clients regarding the Service Provider’s services, availability, or quality.
3.6.4 Any disputes, complaints, or legal claims arising from a service arrangement are entirely between the Service Provider and the client. Retreats In Greece accepts no liability in this regard.
3.7.1 The Service Provider is solely responsible for:
3.7.2 The Service Provider confirms they hold all necessary qualifications, licences, and insurance required to provide the services described in their listing.
3.7.3 The Service Provider confirms they have the right to work and provide services in Greece, and that all applicable tax obligations will be met independently.
3.8.1 The Service Provider agrees to:
3.8.2 Retreats In Greece reserves the right to remove a listing and terminate this section of the Agreement if the Service Provider’s conduct or professional standards are found to be inconsistent with the values and reputation of Retreats In Greece.
3.9.1 The Service Provider grants Retreats In Greece a non-exclusive licence to use their name, bio, service descriptions, images, and any provided branding materials for the purposes of promoting the listing on the Retreats In Greece platform and associated marketing channels.
3.9.2 Retreats In Greece retains ownership of all marketing copy and materials it creates independently.
3.9.3 Neither party may use the other’s name, logo, or trademarks outside the scope of this Agreement without prior written consent.
3.10.1 Both parties agree to handle all personal data in accordance with applicable data protection legislation, including the EU General Data Protection Regulation (GDPR).
3.10.2 Enquirer personal data shared by Retreats In Greece with the Service Provider must be used solely for the purpose of responding to and managing the referred enquiry. It must not be used for unsolicited marketing or any other purpose without the enquirer’s consent.
3.11.1 Either party may terminate this section of the Agreement with 30 days’ written notice by email to info@retreats-in-greece.com.
3.11.2 If the Service Provider terminates before the end of the 12-month listing period, no refund of the annual advertising fee will be given.
3.11.3 Retreats In Greece may suspend or remove a listing immediately if:
3.12.1 Retreats In Greece acts solely as an advertising and referral platform and accepts no liability for the quality, safety, suitability, or delivery of the Service Provider’s services, or for any loss or damage arising from a service arrangement.
3.12.2 In all circumstances, Retreats In Greece’s aggregate liability to the Service Provider under this section shall not exceed the annual advertising fee paid in the relevant year.
3.13.1 This section of the Agreement is governed by the laws of Greece and the European Union.

The following provisions apply to all sections of this Agreement.
By clicking “I Agree” on the Retreats In Greece website, you confirm that you have read, understood, and agree to be bound by the terms of this Agreement, including the section(s) applicable to your arrangement. Your click constitutes a valid electronic signature under EU Regulation No 910/2014 (eIDAS) and forms a legally binding contract between you and Retreats In Greece. The Agreement is effective from the date and time of your click. No physical copy of this Agreement will be issued or required.
Retreats In Greece reserves the right to update these terms from time to time. You will be notified of any material changes at least 30 days before they take effect. Continued use of the platform following such notice will constitute acceptance of the updated terms.
Both parties agree to keep all commercial terms, rates, and business information shared under this Agreement strictly confidential and not to disclose such information to any third party without prior written consent, except as required by law.
This Agreement (including the applicable Schedules) constitutes the entire agreement between the parties in relation to its subject matter and supersedes all previous agreements, understandings, and representations.
If any provision of this Agreement is found to be unenforceable or invalid under applicable law, that provision shall be limited or removed to the minimum extent necessary, and the remaining provisions shall continue in full force and effect.
All formal notices under this Agreement must be sent by email. Notices to Retreats In Greece should be sent to info@retreats-in-greece.com. Notices to the Supplier will be sent to the email address provided at the time of registration.
Retreats In Greece is a licensed travel agency registered in Greece (AFM: 172883411). This Agreement is published at www.retreats-in-greece.com/supplier-agreement/ and is the authoritative version.
